Planning helper lists for events

A helper list belongs to an event, such as a party or an outing. Parents sign up there for tasks. You switch on the «Helper and bring-along lists» module under «Administration» → «Modules».

Creating a list

  1. Open the event in the calendar. As a team member you see a link there to create the helper list or, if one exists, to edit it.
  2. Under «List», set the deadline «Sign up by». Two days before the start are suggested. A «Note for parents» is optional.
  3. Under «Tasks», enter for each task the title, «Needed» (how many people), «Time» and, if you keep parent hours, «Parent hours».
  4. With «Add tasks from a template» you add typical tasks for a party or an outing with driving.
  5. Click «Save». Afterwards, more empty rows are ready for additional tasks.

What parents see

Families affected by the event see the list on the event. While places are free and the deadline has not passed, it also appears under «Waiting for you». No email goes out when you create it; mention it in an announcement if needed.

A full task accepts no more sign-ups. Until the deadline parents can remove themselves, after that only through the school. On the day before, at 17:00, everyone signed up receives a reminder by email.

Who helps

Under «Who helps» you see for each task who has signed up, with their comment. If someone did not come, click «Did not show up». «Was there after all» undoes this.

Parent hours

If the «Parent hours account» module is switched on, Ufzack automatically credits the hours of a task after the event. Anyone marked «Did not show up» gets no credit; a credit already given is taken back. More in Managing parent hours.
