Creating requests and forms
With a request you collect an answer from families in Ufzack, with a deadline and a reminder. You switch on the «Requests and forms» module under «Administration» → «Modules».
Types
- «Read confirmation»: one answer per family.
- «Attendance yes/no», «Consent» and «Form with custom fields»: one answer per child.
How it works
- In the «Cockpit», click «Request or form». If the request belongs to an event, open the event in the calendar and choose «Attach request or form». The families affected by the event are then asked.
- Fill in «Title», «Kind», «Text for parents» and «Deadline». For consent, the «Consent text» is required. «Ask for accompanying adults» adds a question about how many.
- Without an event, choose the audience with «For which levels?», «From class», «To class» and, if shown, «Groups». No selection means: all levels.
- For a form, create the questions under «Custom fields (only for “Form”)», with type, «Options (one per line)», «Required field» and «Prefill with».
- Click «Save as draft» or «Save and ask families». With the second button, the affected families receive an email right away.
Please do not ask for health data such as allergies or medication. Such information belongs in a personal conversation.
Results
The results show the answer per family and child and how many are still missing. «Download as CSV» gives you the table as a file. Parents can change their answer until the deadline. If a deadline is within the next three days and answers are missing, the «Cockpit» shows it.
Reminder
With «Reminder to those who haven't replied this many days before the deadline» you set when Ufzack reminds automatically; the default is 2 days. The reminder goes once to all families with something still missing. «Send reminder now» reminds right away; no automatic reminder follows after that.
Deletion
Answers are deleted 30 days after the occasion. The occasion is the «Date of the occasion», otherwise the date of the event or the deadline. Download the results beforehand if you need them for longer.
