Deciding at short notice whether an event takes place

For weather-dependent events such as a sports day or an outing, you decide at short notice whether the event takes place. Until then, families see «Decision pending». Everyone affected receives the decision immediately by email and push. You switch on the «Taking place?» module under «Administration» → «Modules».

Setting up

  1. Open the event in the calendar and click «Taking place? (decide at short notice)».
  2. Under «Decision», choose the day (the same day, the day before or two days before) and under «at» the time. 07:00 is suggested.
  3. If needed, describe «What applies if postponed» and set a «Postponement date».
  4. Click «Save».

The decision time must be before the event starts, the postponement date after the event. «No longer decide at short notice» removes the set-up as long as nothing has been decided.

Deciding

From 36 hours before the decision time, the «Cockpit» shows the event under «Taking place?» with the buttons; they are also on the decision page. If needed, write a «Message (optional)» and click:

  • «Takes place»,
  • «Postponed to» with a date: the event moves to that day at the same time. The date must be after today.
  • «Cancelled»: the event is cancelled.

The «History» shows every step, who decided and how many recipients were informed. After «Takes place» or a postponement you can decide again; every change goes out to everyone again. After a cancellation, the page shows no more buttons.

Reminder

If nothing has been decided at the decision time, Ufzack reminds the person who set up the decision by email and push. If their account is no longer active, the reminder goes to the head of school and the level coordinators.
