Managing parent hours

With the parent hours account you see in Ufzack how many hours each family has contributed in the school year. The «Parent hours account» module is switched off at first; you switch it on under «Administration» → «Modules». The head of school and the administration find the overview under «Administration» → «Parent hours».

Setting the rules

The «Rules» are at the bottom of the page:

  • «Target applies»: «per family» or «per parent». Per parent, every active parent account counts.
  • «Target per school year (hours)», 20 by default.
  • «Carry-over to the next year at most (hours)»: extra hours count in the next school year up to this value. 0 means no carry-over.

Save with «Save rules». Under «Different target for a family» you set another target for individual families, with a reason, then «Save exception». Only the school sees the reason.

Where the hours come from

  • Helper lists: if a task has «Parent hours», Ufzack credits them automatically after the event, except for people marked as not showing up.
  • Own activities: parents record them themselves. They appear under «To approve»; click «Approve» or «Reject». While activities are waiting, the «Cockpit» shows the card «Approve parent hours».

Traffic light

The table shows «Target», «Actual» and «Status» for each family. It is measured against the part of the school year that has already passed: on track, tight (at least three quarters of what is expected so far) or behind. Families see their own status under «Family and account».

Reminders and export

«Send a friendly reminder to families who are behind» emails every family that is behind with their status. This also happens automatically twice a year, on 15 January and 1 June. «Download as CSV» gives you the overview and all entries of the current school year.
